Supports the Project Manager with the Sample Order Management on Placing, Tracking and Reporting of A-C Sample Orders
Tasks and responsibilities:
Supports PjM with the Sample process for A-C SamplesOrder Placing: Support PjM in pre-order phase, receives & processes sample orders from the customer. Supports the PjM in gathering information about the technical definitions. Ensures the customer requirement of each order is transmitted to the sample shop (e.g. labelling...). Release SAMOS order to SamCo for Confirmation after order details are confirmed by PjMOrder tracking and reporting: Responsible for tracking the sample orders: updates the standard sample delivery plan on a regular basis and informes PjM internally in the meetings about all the updates and informs customer about changes, based on agreement with PjM. Fills out customer documentation, relvenat for the Sample Order Mangement Process (i.e. Shipment Delivery Delay Template - LVB)Prioritization: After SOM receives Prioritization request from PjM, fills out the Prioritization template based on information from PjM. After prioritization process is triggered by PjM, SOM will support with further information.Internal Escalation: Supports PjM with relevant information for internal order escalations (e.g. for shipment delay)External escalation: Supports PjM with information for the Escalation Process, which is handled by PjMCommunicates internally with PjM/SamCo and also with participants on the Sample Workflow regarding order blocking topics (tracking of the orders)Communicates with customer externally through dedicated mailbox or via phonePrepares sample quotation draft, based on the Price Catalogue contracted with the Customer. After the (digital and/or signed) validation by the sales team, quotation can be transmitted to the customerSupports the Accounting departments with gathering information regarding sample orders for solving potential conflicts in the invoicing process ( e.g.. get delivery proof)Standardization: Participates in the Sample Order Management Standardization Activities Key User for Sample Order Management ToolsTrainer for Tools and ProcessesActs as first level support for SOM on processes and toolsOther Responsibilities
