What You’ll Do

Leadership & Team Management

Oversee and coach office and customer service staff (Advocates), ensuring a collaborative and efficient work environmentCrosstrain in essential roles to provide backup coverage and ensure operational continuityConduct performance reviews, goal setting, and employee development planningPromote positive team morale and lead employee engagement efforts

Executive & Administrative Support

Provide executive assistance to other managers, managing calendars, meetings, and administrative projectsCoordinate internal meetings, agendas, and presentations

Customer Experience Oversight

Lead customer service initiatives with a customer-first approachAddress escalated customer concerns and ensure prompt resolutionImplement customer feedback initiatives to support service improvement

HR & Compliance Support

Manage onboarding and termination processes, ensuring accuracy and complianceAct as liaison for workers’ comp claims, accident reporting, and related documentationMaintain employee, driver, training, and medical files in line with HR policiesSupport recruitment efforts and ensure cultural alignment in hiring

Systems & Operations

Manage Monday.com workflows and digital task trackingMaintain office IT systems, file management, and mobile device administrationEnsure upkeep of office equipment and manage office supply inventoryCoordinate site visits and prepare agendas

Payroll & Financial Support

Review and approve payroll hours for office personnelAssist in reporting monthly sales/job completion numbersTrack and analyze marketing, sales KPIs, and revenue budget metrics

Process Improvement & Strategic Initiatives

Define and refine Standard Operating Procedures (SOPs) for office and Advocate functionsMonitor and optimize Titan Score processesIdentify operational issues and propose effective solutions

What you need to succeed:

Associate degree in business, office management, or related field, or 2+ years’ experience in an office leadership roleProficiency with Microsoft Office Suite — Word, Excel, PowerPoint, Outlook (Required)Experience with ServiceTitan or similar field service software (Preferred)Excellent written and verbal communication skillsStrong organizational, planning, and problem-solving abilitiesPositive, self-motivated, and adaptable to changeHR experience and understanding of compliance standards preferred
