Facilities Coordinator

Coordinate facility-related support staff, contracted services, and display fleet management in a corporate office setting. Manage facility-related construction capital projects, preventative maintenance and repair operations. Conduct strategic facilities planning and space use analysis. Provide back-up for the Facilities team in designated areas of responsibility.

Duties & Responsibilities:

Coordinate facilities-related contracted services:

Shipping/receiving service, print/scan equipment and mailroom servicesOnsite café food service staff and equipmentJanitorial staff, services and related suppliesHVAC, plumbing and electrical maintenanceFurniture design, layout and installation servicesOther services include, but not limited to vending, security, painting, carpet, lawn, snow removal, waste removal, windows, roofing, pest control, signage, etc.)Respond to all facility maintenance and repair requests and measure customer satisfaction

Facilities planning/support, analysis, M&A facility integration and project management:

Plan, bid, prioritize, and manage facility-related capital projectsAssist with the development and management of the department budgetCoordinate and conduct safety, security, environmental and compliance inspectionsExamine and implement inter-facility programsManage and track facility utility use and related cost-saving opportunitiesCoordinate building readiness and preparation/support for Polaris events – such as Board of Directors, executive staff, business unit meetings, Polaris Foundation.Build and maintain relationships with outside facility organizations and industry groupsManage asset inventories/tracking and coordinate quality assurance and controlCoordinate facility seating requests and space planning with Polaris business unitsFacilitate employee relocationsCoordinate building opening and closing activitiesAssist with the maintenance and management of video surveillance, card access, and visitor management security systems, partner with security operations to ensure a safe environmentPerform, if necessary, minor ground maintenance including irrigation system, lawns, plantings and sidewalk snow removalCoordinate whole good products associated with display units

Standard hours are Monday through Friday. This position is on call on a 24/7 basis to ensure continuous operation of facilities and to respond to critical issues as needed. This position may be required to work weekends to meet business requirements.

Required Core Skills and Abilities:BA/BS degree in Facility Management or related field – with 3-5 years of experiencePossess and demonstrate independent thinking and decision-making abilitiesAbility to manage multiple tasks, set priorities, value engineer, and meet deadlines requiredStrong organizational, interpersonal, and communication skillsAbility to work with all levels of employees, external contractors, and regulatory authoritiesTeam playerQuality and customer-focusedStrong project management skillsUnderstand Contract / Professional Services AgreementsKnowledge of OSHA and environmental regulationsInitiative, independence, and sense of urgencyWorking Knowledge and Demonstrated Competencies In:Building management systems (BMS) and related equipmentSecurity access controls and related equipmentStrong mechanical and electrical aptitudeMS Word, MS Excel, MS PowerPoint, MS Outlook, MS TeamsAbility to read and understand architectural & engineering documents (Mechanical, Structural, Civil, Electrical)

The pay range for Minnesota is $64,000 to $85,000 per year. Individual salaries are determined through a wide variety of factors including but not limited to education, experience, knowledge, skills, and geography.
