**Job Summary**
We are looking for a proactive and detail-oriented Administrative Assistant to join our in-house legal team at a leading engineering design firm. Reporting on the Corporate Legal function, this position works closely with the Corporate Paralegal. This role will provide vital administrative and organizational support, helping to manage legal documentation, track compliance obligations, and ensure smooth operations within the corporate legal function of a dynamic project-driven environment.
**Responsibilities & Qualifications**
**Key Responsibilities:**
+ Support with administrative tasks related to corporate governance and compliance
+ Maintain accurate electronic and physical filing systems for legal and corporate records
+ Coordinate signatures, approvals, and tracking of legal documents
+ Coordinate and follow up with external providers
+ Manage the department’s calendar, including key compliance and reporting deadlines
+ Assist with maintaining business licenses and regulatory filings across multiple jurisdictions
+ Act as a liaison between the legal team and other departments (e.g., finance, HR)
+ Support the development and upkeep of internal templates
+ Perform other administrative and clerical duties as required
**Qualifications:**
+ Associate or bachelor’s degree preferred
+ Minimum 2 years of administrative experience in a legal or corporate setting; experience in engineering, construction, or professional services firms is highly desirable
+ Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); experience with document management systems a plus
+ Strong organizational and multitasking abilities in a deadline-driven environment
+ Excellent communication skills and attention to detail
+ Ability to handle confidential and sensitive information with discretion
**Preferred Qualifications:**
+ Prior experience supporting a legal function in a technical or project-based company
+ Exposure to regulatory compliance processes in an engineering context
**Work Environment:**
The role is a hybrid position, requiring a minimum onsite presence of one to two days per week at our Makati office, with the flexibility to work remotely on the remaining days. The work schedule will need to be aligned with the West Coast (U.S.) time zone of our Corporate Legal team, ensuring at least a two-hour window for real-time collaboration.
